Director of Projects - Job Description
 

Standard Transmission Productions (www.stp.nyc) is a rapidly growing integrated Display and Experience production company, specializing in technology and custom fabrication for multiple Fortune 500 clients in Retail, Advertising, and Consumer Brands. STP has over 22,000 ft2 of fabrication and design space in Brooklyn, NY and employs a highly skilled fabrication team including specialists in design, scenic, carpentry, metal fabrication, LED technology, digital signage, animatronics, & content creation.

As a result of increased exposure and opportunities, STP is seeking a hands-on full-time Director of Projects with an understanding of business scaling, client & team management, and a strong desire to find a home with a company on an upward trajectory. The chosen candidate will lead a team of seasoned fabricators to deliver memorable experiences rooted in best-in-class design, craftsmanship, and the latest technology.

Projects include large scale display installations with a technology focus and custom fabricated environments for retail spaces, the fashion world, theater, pop-up spaces, and events. Clients include major retailers, artists, museums, galleries, ad agencies, and cultural institutions.

The ideal candidate will be a team player and a proactive problem-solver with excellent communication & organizational skills. They are confident managing the logistical challenges of production and building strong relationships, knowing when to drive plans and when to pivot for the best results. The candidate will not only lead a team of producers but will work in tandem with the CEO in crafting long-term project development strategies.

Responsibilities:

High level project direction
 

  • Tracks the status of all projects

  • Strategizes with the Owner on project financials and timelines

  • Leads the project management team, managing Project Managers/Producers and Project Coordinators to ensure their projects are on track scope-, schedule- and budget-wise, and that the client relationship is being well-maintained

  • Drives resourcing meetings, and works with Project Managers/Producers, Production Manager and Department Heads to ensure all projects are well staffed

  • Sets, maintains and improves company systems and processes for improved efficiency and effectiveness e.g. the internal project calendar, wiki pages, scope/budget/timeline templates, project set-up and debrief standards, quality control

  • Runs new business meetings, and works with the Owner and Executive Team to price out bids for new jobs, write proposals, and attend pitch meetings

  • Builds strong high level client and vendor relationships


Management of key projects
 

  • Client and vendor management

    • Guides the client through concept, design, production, installation, and take-down phases

    • Builds strong relationships, manages expectations, and flags issues

    • Outlines roles and responsibilities, workflow, and approval process
       

  • Leadership and Strategy

    • Leads the project team, facilitates smooth processes, and oversees the project

    • Outlines internal project roles and responsibilities, workflow, and approval process

    • Synthesizes the project brief, including goals, success metrics and  mandatories
       

  • Plans and Quality Management

    • Ensures that projects are on time, budget, and to agreed quality

    • Creates scopes of work, schedules, estimates, and project plans, identifying resource requirements, project tasks, deliverables, dependencies and assumptions

    • Transforms quality expectations into criteria, and creates a quality management strategy
       

  • Progress tracking

    • Owns the project schedule and outlines the critical path

    • Drives decision-making and defines clear actions, tracking tasks throughout the project life cycle of managed projects.

    • Tracks burn rate/profitability of managed projects and overall projects

    • Facilitates regular check-ins, produces status reports, and flags issues

 

  • Risk and Change management

    • Identifies risks upfront, and creates a risk management strategy

    • Maintains a record of how pieces are planned to be built and tracks changes as they occur

    • Manages project issues, including change requests, off-specifications, problems/concerns
       

  • Resourcing and Logistics

    • Hires freelancers for projects, and creates call sheets for installations and take-downs

 

Requirements:

  • 7+ years proven experience leading $1-2M projects

  • Experience in events production, retail, and fabrication preferable

  • Experience with project management software e.g. Trello, Smartsheet, Google docs
